Open the document’s keywords

Find the document in Search, select it, and open the Keywords view in the preview pane. Check the document name and ID before editing. You need permission to modify the relevant document metadata; a visible field is not necessarily editable.

Make the correction

Change the intended keyword values. Respect required fields and available value lists. When changing a value linked to autofill, review dependent values after the lookup completes. For a repeatable keyword group, edit the correct row. Two values in separate rows do not express the same relationship as those values in one row. Save the changes and wait for the result. If validation fails, correct the highlighted issue before leaving the document.

Verify what was stored

Reopen the keywords or refresh the document and confirm the new values. If the search used the value you just changed, rerunning it may correctly remove the document from that result set. If a value changes again unexpectedly, check whether an autofill binding, event hook, or workflow controls it. Ask the configuration owner to inspect the relevant automation.

Updating several documents

Use the selection and bulk-edit controls only after checking the selected document count and intended scope. Review the result for individual failures. Bulk editing a chosen set is different from administrator mass value editing, which can target every document carrying a stored value.
